    In this annual Communication on Progress, we describe our actions to continually improve the integration of the Global Compact and its principles into our business strategy, culture and daily operations. Human Rights
  • Assessment, policy and goals

  • The Scanmed Multimedis Group respects human rights, prevents cases of their violations, declares respect for freedom of association of workers and prevents discrimination in respect of employment. The Code of Ethics adopted by the Scanmed Multimedis Group, which contains provisions on human rights, which are also a declaration of its application by the Group and its employees
    The Scanmed Multimedis Group is a signatory of the Charter of Diversity from December 19, 2012.
    The Scanmed Multimedis Group has developed requirements for occupational health and safety, including provisions on human rights, which presents and expects them to confirm the respect of their subcontractors and suppliers.
    In the second quarter of 2013, the Scanmed Multimedis Group will proceed to implementation and certification of international standard SocialAccountability8000 (SA8000). The project implementation is to develop solutions and tools for building an ethical culture in the company. The aim, in accordance with SA8000 standard guidelines, is to create standards and principles based on international standards for among others, human rights, that will protect all staff members that produce the products or render services to the company, employed directly by the company and by its suppliers / subcontractors and sub-suppliers. Completion of procedures for the implementation and certification is planned for the end of the first quarter of 2014.

  • Implementation
  • Description of concrete actions to implement Human Rights policies, address Human Rights risks and respond to Human Rights violations.

  • - Within the Scanmed Multimedis Group was established the Ethics Committee, which monitors compliance with ethical standards in the capital group of Scanmed Multimedis. The employees may report complaints and reports to the Committee via a dedicated mailbox operated by members of the Committee.
    - Since 2009 within the Group operates the Patients' Advocate (review agent, patient’s rights representative), whose job is to care for the safety and satisfaction of patients and to respect patients' rights by the entire staff. The Advocate prepares periodic reports to the board of directors in terms of complaints and monitoring of patient satisfaction. The tasks of the Advocate is to ensure the patient with assistance in getting access to full information, conducting telephone and mail consultation concerning the quality of services provided, receiving verbal and written complaints made by patients, preparing written responses to patient’s complaints, conducting monitoring of the compliance with patient's rights in the Group’s establishments, conducting the information and education activities for patients and staff on the rights and obligations of the patient. The Advocate may be also contacted via mailbox.
    - Other mechanisms that allow stakeholders, including patients and employees, reporting the recommendation, giving the advices and comments, include: a contact with the immediate supervisor, direct meetings with management, as well as contacting the Press Spokesman.
    - The Scanmed Multimedis Group conducts training related to the questions and matters of compliance with human rights relevant to conducted operations, including, in particular, covering such topics as the principles of the Global Compact, patient rights, ethics and Code of Ethics, occupational health and safety, personal data protection and training of Arab culture, that allow to prepare staff to support patients from other cultures.
    - The St. Raphael Hospital operated by the Group allows hospitalized patients the celebration of religious practices. In the Hospital’s premises there is a hospital chapel, which serves patients of the hospital and its employees. The patients of the Hospital have assured constant exercise of pastoral care of the clergy of the Roman Catholic denominations, as well as the Evangelical and Orthodox. Representatives of other faiths also have the freedom to practice their religion. The Hospital provides, inter alia, meals and diet prepared in accordance with the requirements of a particular religion.
    - The Group operates the Equal Opportunities Commission, whose purpose is to supervise the practices on employment and decent work applied in the Group, in terms of „diversity and equality of opportunity.”

  • - In 2012, within the Scanmed Multimedis Group no cases of violations of human rights or discrimination on grounds of sex, religion, age, ethnicity and nation were reported.
    - In 2013, the Scanmed Multimedis Group started to implement SocialAccountability8000 (SA8000) standards.
    - The Group holds regular, annual management reviews, which involve, among others, top management, employee representatives and the Patients' Rights Advocate. During the reviews, the execution and implementation of assumed goals and objectives is summed up, including respect for human rights within the Scanmed Multimedis Group.
    - In November 2012, the Scanmed Multimedis Group passed the verification of compliance with the Code of Responsible Business, prepared and carried out on behalf of the Employers of Poland by PwC Poland Sp. z o.o., which confirmed the compliance of the Scanmed Multimedis with all the principles of the Code of Responsible Business. This Code takes into account the provisions and guidelines of major and frequently used international standards for responsible business conduct, including the Global Compact principles relating to human rights.

Labour
  • Assessment, policy and goals

  • Occupational safety and the safety of the Scanmed Multimedis Group’s employees is one of the essential elements of personnel policy. The Group meets the required by laws and regulations obligations in the field of occupational health and safety and carries out all mandatory practices in this regard.
    Integrated Management System Policy of the Scanmed Multimedis Group, which was published on the website www.multimedis.pl/O nas/Polityka Zintegrowanego Systemu Zarządzania, containing provisions on the objectives in the field of occupational safety and health, including care for the employee by reducing the risks and threats, providing as the safest working conditions, with minimal professional risk, excellence of Integrated Management System in the area of safety and compliance with applicable legal requirements. The provisions of the Policy were subjected to consultation with representatives of the trade unions operating within the Group.
    The involvement of the Scanmed Multimedis Group in the realm of occupational health and safety is also reflected in:
    • carrying the initial and periodic OSH training for employees,
    • adaptation of work stations in accordance with the requirements of the law and ergonomics, and equipment of workers in protective clothing,
    • hazard identification and occupational risk assessment,
    • ensuring the organization and arrangement of work and work stations in a manner that protects workers against the dangers of accidents and the impact of harmful factors,
    • carrying systematic checks and inspections of workplaces and work stations and analysis of occupational safety and health at work,
    • supervision of the safety management system, and conducting the internal audits,
    • Cooperation with external health and safety inspector, as well as trade unions,
    • use of system solutions to eliminate observed irregularities, causes of accidents at work, dangerous situations and different kinds of threats.
    Scanmed Multimedis Group takes also voluntary initiatives and actions to improve the occupational health and safety by implementing OSH standards, expanding the offer of training for workers in this field and providing employees free of charge vaccinations.
    With regard to the scope of the rules to be applied when recording and reporting accidents, the practice of organization is consistent with Polish law being in force, and national law is consistent with the recommendations of the International Labour Organisation
    Scanmed Multimedis Group has developed requirements for occupational safety and health, which are submitted (presented) to the Group’s subcontractors and suppliers, and the Group expects them to confirm the respect of and compliance with these requirements. The subcontractors and sub-suppliers are informed of the requirements in terms of the compliance with guidelines, such as legal norms, the OSH rules being in force in the Group and the rules and procedures for safe work. The Group expects (sub)contractors and (sub)suppliers to confirm the fulfillment of these requirements and carries out the audits of subcontractors attesting to their fulfillment.

  • Implementation
  • Description of concrete actions taken by the company to implement labour policies, address labour risks and respond to labour violations.

  • - In the Scanmed Multimedis Group was established the OSH Commitee, whose task is to review the working conditions, to make periodic assessment of occupational health and safety, evaluation of measures undertaken by the employer to prevent accidents at work and occupational diseases, to formulate proposals for the improvement of working conditions and the interaction with the employer in carrying out its responsibilities in the field of occupational health and safety.
    - In any of the companies being the member of Scanmed Multimedis Group in 2012, there were no measures to limit the freedom of association. The Group has three unions. Membership of trade unions was declared by 15% of the Group's employees. Most numerous union is: National Association of Nurses and Midwives, which brings together 62 people.
    - The Management of the Scanmed Multimedis Group remains in constant contact with representatives of trade unions, as one of the channels of communication with employees, and constantly informs them of the action taken and the adopted strategy. On a periodical basis, repeated once a quarter, the Management Board holds the meeting with representatives of trade unions, and in these meetings the discussed subjects include the matters of concern to employees and trade unions, moreover, the Management Board always takes note of the conclusions and observations made and submitted by the trade unions representatives..
    - In 2012, the Scanmed Multimedis Group did not identify activities that may pose a threat to the right to freedom of association and right to collective bargaining among its suppliers.
    - As part of the adopted policy for occupational health and safety, the top management provides the consultation with employees and their representatives, as well as informing them on all aspects of health and safety related to their work. Top management has made such organizational solutions so that the employees and their representatives have the time and resources to enable their active participation in the processes of planning, implementation, maintenance, testing, corrective and preventive actions and any other actions related to continuous improvement, implemented in the scope of occupational health and safety management.
    - Channels of communication with employees include: Internal newsletters, direct meetings, training, surveys and studies, newsletter, website, Commission on Health and Safety, the Panel on Hospital Infections, and the Committee on Hospital Infections.
    - Taking care of the welfare and safety of its employees, the Group:
    1. Organizes training in first aid. In 2012, training was attended by over 300 people representing both medical staff and administrative staff. Training takes place on a regular basis - once a month and include a group of 20-30 people.
    2. Provides their employees with access to immunization, such as against hepatitis (type B). In 2012, 89% of Scanmed Multimedis employees and 98% of employees Scanmed took advantage of vaccination.
    3. The OSH Department operating within Scanmed Multimedis Group informs the workers about occupational diseases during the mandatory initial and periodic training. Within the organization, the cases of occupational disease or suspicion of the disease have not yet been found, therefore no programs to assist workers, their families, or community members were used.
    4.
    - The Scanmed Multimedis Group applies the principle of equal remuneration for men and women for work on comparable job positions.
    - In 2012, a decision was made to start the implementation of the occupational health and safety management standard PN-N 18001. Implementation of this standard was completed in the third quarter of 2013.

  • - Women are dominant group in the employment structure. They take up positions at each level of the structure, starting from specialist job positions up to the managerial positions.
    - In 2012, in the Scanmed Multimedis Group 37% of contracts with employees constituted a contract of employment, and 63% of civil law contracts; whereof the contracts with women accounted for 85% of the contracts of employment and 58% of civil law contracts.
    - The dominant age group among employees in the Group Scanmed Multimedis includes young people aged from 26 to 30 years. The next most numerous group are those aged 36-40 years, and therefore the Scanmed Multimedis Group's personnel policy is aimed, inter alia, for these age groups. The Group does not employ persons under 18 years of age. A particularly important group of employees are also people aged 50+. In Scanmed Multimedis it represents 25% of employees and in Scanmed it amounts to 21% employees. The Group's policy is intended to ensure that individuals decent working conditions and a decent retirement.
    - In the second quarter of 2013, the Scanmed Multimedis Group will proceed to implementation and certification of international standard SocialAccountability8000 (SA8000). The aim of the actions according to SA8000 standards guidelines is to create standards and rules based, inter alia, on national labour laws that will protect all staff members that produce products or render the services to the company, including staff employed directly by the company and by its suppliers / subcontractors and sub-suppliers. Completion of procedures for the implementation and certification is planned for the end of the first quarter of 2014.
    - The Scanmed Multimedis Group holds regular, annual management reviews, which involve top management. During the reviews, the execution and implementation of assumed goals and objectives is summed up, including the actions in the field of execution of OSH management policy.
    - In November 2012, the Scanmed Multimedis Group passed the verification of compliance with the Code of Responsible Business, prepared and carried out on behalf of the Employers of Poland by PwC Poland Sp. z o.o., which confirmed the compliance of the Scanmed Multimedis with all the principles of the Code of Responsible Business. This Code takes into account the provisions and guidelines of major and frequently used international standards for responsible business conduct, including the Global Compact principles relating to the work standards.

Environment
  • Assessment, policy and goals
  • Description of the relevance of environmental protection for the company (i.e. environmental risks and opportunities). Description of policies, public commitments and company goals on environmental protection.

  • The Scanmed Multimedis Group operates in the medical services sector. Implementation of medical processes results in, among others, the impact on the environment through the production of various types of waste, including medical and hazardous waste, as well as emission of greenhouse gas produced during the combustion of fuels by vehicles being the fleet of sanitation ambulances. Scanmed Multimedis Group, guided by the idea of sustainable development, inscribed in their policies pursued by conducting operations in a manner consistent with the standards of corporate social responsibility and takes actions to minimize the impact on the environment while maintaining the safety of medical care business for their patients.
    Integrated Management System Policy of the Scanmed Multimedis Group, which was published on website www.multimedis.pl/O nas/Polityka Zintegrowanego Systemu Zarządzania, containing provisions on the objectives for the protection of the environment, including, inter alia, for monitoring and reduce the impact of the organization on the environment, improvement of Integrated Management System in the field of environment and care for the environment, in particular by preventing pollution and transparency in communication with the environment.
    Scanmed Multimedis Group shows and expects also their subcontractors and suppliers to confirm the conclusions they respect the Group’s standards and requirements for environmental protection. These requirements and guidelines for the protection of the environment, include: meeting the legal standards and provisions, principles of environmental management applicable in the Group, rules for safety work, proper handling of waste and the procedures applicable in this regard.
    The objectives of environmental protection entered into the Integrated Management System Policy and adopted CSR Strategy for Sustainable Development of Scanmed Multimedis Group concern restrictions and limitation on the production of pollutants, including waste. Generation of waste, including medical waste and hazardous waste results from the characteristics of medical business activity, and their amount is directly dependent on the scale of rendered services. In pursuing the objectives of the Environmental Management Programme for the year 2013, the Group strives to minimize the amount of waste produced in the different types of waste and to implement activities aimed on the verification and improvement of waste selection, such as:
    - Quantitative and qualitative inventory of waste segregation accuracy,
    - Training of personnel in the field of the correct classification and segregation of waste,
    - Analysis of the applicability of reusable medical equipment.

  • Implementation

  • - Implementation within the Scanmed Multimedis Group and certification in 2013 by an external, accredited certification body of the standard ISO 14001 - Environmental management, including the identification, monitoring and control of environmental activity of the Group.
    - The action titled “The Green Office” in 2012 – a survey among employees, who were asked to express their opinion on the measures that the Group could take to even more efficient use of natural resources. Anonymous survey showed that for up to 94% of workers, environmental protection is important. Among the employees were distributed guidelines of care for the environment at the workplace. They concerned the efficient use of electricity and heat, water and supplies..
    - Training for staff, including the training on waste segregation, medical waste treatment, legal regulations in the field of environmental protection, the ISO 14001 standard and the impact of ecological behavior on operating costs.
    - A conduct of a two-month information campaign in 2013 directed to employees regarding the protection of the environment, saving water, electricity and thermal energy, consumables and waste segregation and increasing the awareness regarding conscious measures to protect the environment, such as making the conscious, ‘green’ (eco-minded) purchases. This action included mailings, posters, leaflets and stickers to encourage environmentally friendly behavior.
    - Scanmed Multimedis Group has developed requirements for the protection of the environment, which are submitted (presented) to the subcontractors and suppliers, and the Group expects them to respect and to comply with these requirements. Contractors and subcontractors are informed of the requirements set by the Group in terms of compliance with the guidelines for the protection of the environment, such as legal standards, environmental management principles applicable in the Group, the rules for safety work, proper handling of waste and the applicable procedures in this regard. The Group expects the contractors and subcontractors to confirm the fulfillment of these requirements.

  • - Scanmed Multimedis Group incurred in 2012 and 2013 years neither fines nor non-monetary sanctions for non-compliance with laws and regulations relating to environmental protection..
    - The waste segregation system implemented in 2013 will reduce the amount of municipal waste by exclusion of segregated glass, paper and plastic. In one month only, the pursuit of such selectively collection allowed to collect one container of segregated glass volume with the volume of 1.3m3.
    - In the area of St. Raphael Hospital being a part of the Group, the ‘classic’ lighting was replaced with energy-efficient one. In 2012, the savings resulting from replacing old lighting systems with energy-efficient LEDs in the building of one of the establishments were 8,500kWh.
    - The Scanmed Multimedis Group holds regular, annual management reviews, which involve top management. During the reviews, the execution and implementation of assumed goals and objectives is summed up, including the actions in the field of environment management.
    - In November 2012, the Scanmed Multimedis Group passed the verification of compliance with the Code of Responsible Business, prepared and carried out on behalf of the Employers of Poland by PwC Poland Sp. z o.o., which confirmed the compliance of the Scanmed Multimedis with all the principles of the Code of Responsible Business. This Code takes into account the provisions and guidelines of major and frequently used international standards for responsible business conduct, including the Global Compact principles relating to the actions undertaken by the Group with respect to the environment protection.

Anti-Corruption
  • Assessment, policy and goals
  • Description of the relevance of anti-corruption for the company (i.e. anti-corruption risk-assessment). Description of policies, public commitments and company goals on anti-corruption.

  • In 2012, for the Scanmed Multimedis Group was developed and adopted the Scanmed Multimedis Group Code of Ethics, which regulates, among others, issues related to the prevention of corruption . The Code applies to all employees of the Scanmed Multimedis Group. It was developed by an interdisciplinary team of representatives from all departments and submitted to consult the Scanmed Multimedis Group's employees. The Code of Ethics applies to such areas of the Group Scanmed Multimedis values as, inter alia, combating illicit payments and corruption, conflict of interest and contains provisions relating to the security of transactions with contractors, and the contractors’ compliance with law and ethical standards of the Group.
    As part of the process of implementation of the Code of Ethics, the staff was trained regarding the applicable ethical principles expressed in the Code and the document was made public, through the distribution via e-mail to employees and by publishing the Code on the website, where is also available to customers of the Group.

  • - In 2012, training on the Code of Ethics, including information on all areas of the values to which the Code applies, including information security and corruption, was attended by 438 people.
    - Within the Scanmed Multimedis Group was established the Ethics Committee, which monitors compliance with ethical standards in the capital group of Scanmed Multimedis. The staff may submit any complaints and reports to the Committee via e-mail.
    - The procedure for the prevention of money laundering and financing of terrorism was implemented.

  • - In 2012, no cases of attempts to corruption and money laundering were recorded within the Group.
