Assistant to Executive Director
I. General information
Title: Assistant to Executive Director
Duration and Period: 1 year from 1 June 2008 to 31 May 2009
III. Duties and responsibilities
Under the guidance of the Executive Director of the GCO, the main functions assigned to the candidate are the following:
1. Support the Principal Officer and his Special Assistant in the performance of their functions including drafting key communications (for internal and external use), analytical papers and other important documents, articles or reports; support designing, initiating and managing special projects; participating in key meetings of the Principal Officer and his Special Assistant and ensuring necessary follow up is undertaken.
2. Work with the Special Assistant supporting the management of Global Compact’s relations with governments, especially donor governments; drafting and responding to key communications to/from governments; participating in bilateral meetings with governments; undertaking research projects as relevant; ensuring necessary follow up is undertaken; coordinating donor meetings together with government host and the Special Assistant; support in preparing reports of donor meetings.
3. Work with Executive Director and Special Assistant on matters relating to Governance and Funding issues, including following up with donors on pending contributions and track incoming contributions; Ensuring proper allocation of Funds to GCTF; Ensuring follow-up on GC funding proposal.
4. Liaise with senior officials in the Department to coordinate timely submissions for briefing notes, speeches, etc in preparation for Global Compact related meetings with the Secretary-General and his senior staff.
5. Efficiently plan, organize and coordinate Global Compact related meetings and conference calls, as well as group briefings for the Executive Director. In particular, assist in the logistical coordination of annual GC Board and donors meeting, ensuring that all required services and support are available to backstop technical needs, submitting conference room request to emeets and follow up with Conference Services Unit on requests and making travel and hotel arrangements for participants as necessary; Attain clearance from Security Unit to attain visitors passes for external participants; Assist in the preparation of agenda items and list of participants, as well as meeting materials for distribution; Coordinate and support the elaboration with team of necessary background materials, speeches and/or talking points for meetings for Executive Director.
6. Coordinate work schedule of Executive Director; Screen, review, record, and track incoming mail, email, and phone calls with internal and external parties including with the GC Board to ascertain priority and obtain background material, for action. Write official letters to business contacts, UN Agencies, and United Nations Secretariat staff. Prioritize communications so that they may be addressed by the Director of the office. Receive and reply to general correspondence in order to expedite communication channels. Follow proper procedures for receiving, registering, classifying, filing, and distributing incoming official correspondence and documentation with Global Compact Staff, Executive Office as well as United Nations Secretariat senior officials, United Nations Agencies, and business contacts.
7. Submit requests for official travel, home-leave, make travel arrangements, and submit proof of travel to Executive Office in order to meet UN Rules and Regulations related to travel.
